How Coaches and Consultants Get Their Week Back

A growing coaching or consulting practice fills the week with booking links, proposals, onboarding, course logins and unpaid invoices. Here is how one point of contact takes that work on, inside the tools you already use, so your hours go to clients.

A coaching or consulting practice sells the same thing every week: your time and your thinking. The trouble is that a growing practice fills that week with everything else. Booking links need updating, a discovery call ends well and the proposal sits half written, a new client needs a contract and an intake form, a student cannot log in to the course, the newsletter slips again and two invoices are still unpaid. None of it is hard. All of it lands on you, usually in the evening. Here is how a practice hands that work to one point of contact, backed by a managed virtual assistant team, and gets its week back.

Bookings, reminders and reschedules

The calendar is the product, so it is the first thing to protect. Your assistant manages availability and booking links in Calendly or Acuity, sends session reminders with the Zoom link and any pre-work attached, and handles reschedules and cancellations under the policy you set. Buffers stay in place, double bookings are caught, and the gaps in your day are the ones you chose.

Discovery calls followed up while they are warm

The gap between a good conversation and a signed client is where practices lose money. After each discovery call your assistant sends a short recap and a clear next step, then a proposal or package options from your templates. Unsigned proposals are checked in on at a cadence you approve, so warm enquiries do not go quiet while you are in session.

Onboarding that runs from your templates

Once a client says yes, the next steps should not depend on your evening. You approve the order and the wording once, and after that every new client is onboarded the same way through Dubsado or HoneyBook.

  • Contract and intake form sent through Dubsado or HoneyBook
  • Welcome email and client folder set up from your templates
  • First session booked and confirmed with the Zoom link
  • Pre-work or questionnaire sent before the first call

Course, membership and community admin

Group programmes only feel effortless to students when someone is behind the scenes. Enrolments, access fixes and lesson uploads happen in Kajabi or Thinkific, new members are welcomed and threads are moderated in Circle, and group calls are scheduled with replays sent afterwards. During a launch or a cohort start the hours flex up, then settle back down the following month.

Newsletters and content in your voice

Consistent visibility depends on routine, not inspiration. Your assistant drafts and schedules the newsletter in ConvertKit from your notes or a recorded session, repurposes webinars and group calls into posts and clips, and designs the graphics in Canva. You review, it goes out on the schedule you set, and the month no longer slips.

Invoices sent and followed up

Cash flow in a practice is mostly a matter of rhythm. Invoices go out through Stripe or QuickBooks when the work is done, late payments get a polite follow-up on a set cadence, and testimonials are requested at the end of every programme or engagement, while the result is still fresh in the client's mind.

We handle the admin, coordination and communication around your expertise. The coaching, the advice and the decisions stay with you.

What to hand over first

Start with the work that is repetitive, already has a template, and costs you the most when it slips. A sensible order for a coaching or consulting practice looks like this:

  • Booking links, reminders and reschedules
  • Discovery-call recaps and proposals
  • Contracts, intake forms and welcome emails
  • Course enrolments and community moderation
  • Newsletter, invoices and testimonial requests

Before any of it starts, an NDA is signed, you choose which systems and permissions your point of contact gets, and they learn your voice, your packages and your boundaries during onboarding. Anything that needs your expertise, a legal opinion or a financial decision is passed to you or your qualified adviser.

See coaches and consultants support

Each week you get a short report: sessions booked, proposals open, invoices outstanding and content queued, so you always know where things stand without asking. It begins with a free 30-minute discovery call, there are no setup fees, and the first thing we do together is map out what to hand over first.
